  • How to Assign a Default Signature in Outlook 2013

    If you sign most of your emails the same way, you can easily specify a default signature to automatically insert into new email messages and replies and forwards. This can be done directly in the Signature editor in Outlook 2013. We recently showed you how to create a new signature. You can also create multiple signatures for each email account and define a different default signature for each account. When you change your sending account when composing a new email message, the signature would change automatically as well. NOTE: To have a signature added automatically to new email messages and replies and forwards, you must have a default signature assigned in each email account. If you don’t want a signature in every account, you can create a signature with just a space, a full stop, dashes, or other generic characters. To assign a default signature, open Outlook and click the File tab. Click Options in the menu list on the left side of the Account Information screen. On the Outlook Options dialog box, click Mail in the list of options on the left side of the dialog box. On the Mail screen, click Signatures in the Compose messages section. To change the default signature for an email account, select the account from the E-mail account drop-down list on the top, right side of the dialog box under Choose default signature. Then, select the signature you want to use by default for New messages and for Replies/forwards from the other two drop-down lists. Click OK to accept your changes and close the dialog box. Click OK on the Outlook Options dialog box to close it. You can also access the Signatures and Stationery dialog box from the Message window for new emails and drafts. Click New Email on the Home tab or double-click an email in the Drafts folder to access the Message window. Click Signature in the Include section of the New Mail Message window and select Signatures from the drop-down menu. In the next few days, we will be covering how to use the features of the signature editor next, and then how to insert and change signatures manually, backup and restore your signatures, and modify a signature for use in plain text emails.

    My main email client is Outlook 2010 for Windows 7. I also have a Mac but I do not use it that much however on the MAC you have Outlook 2011. In my Outlook 2010 for Windows 7, I have many many folders. There is one feature I would like to know if it is available or something similar which is on Outlook 2011 for the Mac. On the Outlook 2011 for the mac you can go to: Top Menu Message Move Choose Folder or press (SHIT+CMD "press" M) This bring up a box where you can just type the beginning part of the folder and all the folders with that beginning appears (To search), you select the one you want and the selected emails move to that folder. I hope I have explained it well. Does anyone know if there is a plugin on Outlook 2010 or may I have just missed the function. Thank you

  • Outlook 2010 + Move IMAP PST file = Outlook data file cannot be accessed

    I set up a new IMAP account in Outlook 2010. It works but creates IMAP PST file in C:\Users\User\AppData\Local\Microsoft\Outlook. I want the file on my data drive in D:\Users\User\Documents\Outlook Files (the same folder where outlook automatically creates the local Outlook PST. I followed the instructions here to move the IMAP PST. Testing the account (send/receive) works fine, but if I try to manually send an email I get error 0x8004010F Outlook data file cannot be accessed. I've tried repairing the PST using SCANPST (it always finds errors), and deleting and recreating the account but I get the same error. If I move the PST file back, it works again, but this is not ideal. Note: I don't think this is a duplicate of this question as the cause is different and the solution does not help.

  • How to Add a Note to an Email Message in Outlook 2013

    There may be times when you want to add a note to an email message you received. Maybe you need to remember something about the sender or the contents of the email. There are several ways to add a note to an email message. NOTE: You can also create a new task containing an email message you received. This is useful if you need to do something related to the email. The new task will contain all the contents (except attachments) from the email. One method of adding a note to an email message is to flag the message. To do this, right-click on the flag icon in the flag column for the message to which you want to add a note. Select Custom from the popup menu. On the Custom dialog box, you can select a ready-made note from the Flag to drop-down list. You can also type a custom note in the Flag to edit box. Select a Start date and a Due date and setup a reminder, if desired. Click OK. The flag displays above the body of the email message when you double-click on the message to open it in the Message window. You can also put the cursor in the subject line of the message and add text to it, as shown below. When you close the message window, a confirmation dialog box displays asking if you want to save your changes. To save the note you added to the subject line, click Yes. Your note displays as part of the subject line on the message in your list of email messages. You can also add a note to the body of an email message. To do this, you must enable editing of the message. Double-click the message to open the Message window. Click Actions in the Move section of the Message tab and select Edit Message from the drop-down menu. Click in the body of the message and type your note. When you close the Message window, a confirmation dialog box displays asking if you want to save your changes. Click Yes to save you note in the body of the email. You can see the note you added if it is visible as part of the first line of the body displayed in the list of email messages. Use the Notes section of Outlook to create a separate note you can attach to an email message. To do this, click the … button on the Navigation Bar and select Notes from the popup menu. Click New Note on the Home tab of the Notes window (or press Ctrl + N) to create a note. Enter the text for your note in the small note window that displays and click the X button to close the note, saving it. To attach the note to the email message, make sure the Mail section of Outlook is active. Double-click on the message onto which you want to attach the note. Leaving the Message window open, go back to the main Outlook window and select Notes from the Navigation Bar, as mentioned above. Drag the note you created to the message window. The note is added to the message as an attachment. When you close the Message window, a confirmation dialog box displays asking if you want to save your changes. To save the message with your note added as an attachment, click Yes. A paperclip icon is added to the message in the list of email messages, indicating there is an attachment in the message. When you add a note to an email message as an attachment using the Notes section of Outlook, you don’t have to keep the original note. The note is now saved with the message, and can be deleted from the Notes section.

  • Outlook 2007 Backup to D:\Outlook Fails - Access Denied, Write-Protected or File In Use

    I can successfully save the Outlook PST file to the default location on the C drive (C:\Documents and Settings\user\ ... \Outlook) but when I change the backup save to directory to Outlook on the D drive I get the error: Cannot copy Outlook: Access is denied. Make sure the disk is not full or write protected and that the file is not currently in use. I suppose it is not that crucial that I save this file here, but I have never seen this problem before and I have made this same change in the past. I did some searching in this knowledge exchange as well as elsewhere on changing permissions, etc, but this didn't help. I discovered that the folder on my D drive (called Outlook) is not write-protected and nor is it read-only, as I can save to and modify files in that directory, as well as rename and delete the directory itself. At the time when I installed this version of Outlook, I used a previously saved Personal Folder (a backup PST file) and I thought having this still open in Outlook was causing the trouble. But I closed it and still have the same problem. I know this is probably a silly error on my part but I would like to figure it out. I'm new to superuser, but the answers I see are usually very good, so I thought I would post my first question. Thanks in advance.

    Hi I've been trying to figure out how to create a context menu in VSTO 2007. I'm hoping that is possible. When I make this call. Dim commandBar As Microsoft.Office.Core.CommandBar = _word.CommandBars("Text") I get the following error. This object model command is not available in e-mail. I've look all over and from what I can tell it's not possible to add to the context menu in Office 2007. This doesn't seem right. I've also tried this event without any luck since it isn't being fired when right clicking on the MailItem ItemContextMenuDisplay(ByVal commandBar As Microsoft.Office.Core.CommandBar, ByVal selection As Microsoft.Office.Interop.Outlook.Selection) Hoping that someone can help. Thanks in advance.

  • More outlook VSTO help...

    I posted an article here (http://stackoverflow.com/questions/1095195/how-do-i-set-permissions-on-my-vsto-outlook-add-in) and I was able to build my installer. I thought that once the installer built itself, everything would work fine. I was wrong. It works on about half of the PC's I've run the installer on. My problem is that the other half doesn't work. I'm trying to install an add-in to Outlook Office 2003. I've even gone so far as to create the steps manually by using a batch file. Nothing seems to work on these PCs and I can't find a common denominator that I can rule out or in that will make the VSTO Addin work. Here is the batch file I am using. What am I doing/not-doing wrong with this? I could really use a VSTO expert's help. Thanks!!!! EDIT I've changed the batch file and registry settings to reflect recent updates to them.   • Make Sure Outlook Loads All the Plugins

    My antivirus ( ESET) hanged some day ago, and that brought down its outlook plugin as a result. So when I tried to launch outlook, I would get a message, saying that outlook cannot launch. After I did this a few times, the outlook asked me whether agree to disable all the plugins, which I clicked yes. The problem now is that after I restart my pc, ESET is working fine, but the Outlook is no longer loading any of my plugins. Is there anyway to tell OUtlook to load the plugins?

  • Outlook 2010 Error

    I'm running Outlook 2010 SP1 on Windows 7 x64 SP1, and I'm getting an error message saying "Your Microsoft Exchange administrator has blocked the version of Outlook that you are using. Contact your administrator for assistance." I'm still able to log into my account using Outlook Web Access (OWA), so I know that my account is working just fine. Outlook 2010 with Service Pack 1 is the standard for Windows 7 client systems at this organization, and other people are able to access their e-mail just fine. When my account was initially configured, I was able to use Outlook for a couple of days, and then it suddenly stopped working, providing only the above error message. Do you have any ideas on what I should look into to resolve this problem? Is there any information I can obtain on the client side that will help the Exchange folks investigate the issue further? Is there any verbose logging I can enable, or diagnostic logging in Outlook? Cheers

    I am about to embark on my first outlook 2007 plugin. I would like to create a new tool bar that will have a button that will initially be disabled. When the user selects a message the button should be enabled... but only if the email is of a certain type of email... This is where I need your expert advice, is there a way to quickly flag an email in outlook, so that in the email select event you can look for a property of that email... for example... on_select if mail.type = "FromISP" then I would prefer not to use the from field.... the other thing is during the send process I need to set the flag, I am doing this again using .net so I have full control over how the mail is created. Any ideas would help... Thanks

  • Cannot click send button in Outlook (+ Exchange) for unknown addresses

    Hi, I have a very unusual problem. I have Outlook 2010 connected to Exchange 2010. This can send emails perfectly to known addresses (that is, addresses in the address book or ones that have been sent to previously). However, if I put in an address that is unknown, I cannot actually click the Send button in Outlook. (it simply does nothing). Corresponding to this I get errors in the Event Log for each Send click stating "The connection to Microsoft Exchange is unavailable. Outlook must be online or connected to complete this action.". However, Outlook shows as connected the whole time, pings do not break, and I have no reason to suspect it has lost connection. To further complicate matters, Outlook is fine on all other PCs, and this was all perfect until I installed BitDefender on the PC in question and the Exchange Server. Outlook was still fine on these other PCs while BitDefender was installed, but I have removed it from the PC in question and the Server just in case (no success). Summary: Outlook encounters Exchange connectivity issues when sending to unknown (new) email addresses that prevent the Send button actually working at all. This is isolated to one machine and occurred after installation of AV/Firewall software which has since been thoroughly removed. If you have any potential solutions I'd love to hear them, as I will be resorting to reformatting the PC in question, and probably removing Exchange because I'm sick of its issues if I cannot resolve this soon. Big thanks for any help.

Email is one of the most important communications mediums today, but even with all of the advances in Outlook over the years it can still be difficult to keep track of conversations, files, and contacts.  Xobni makes it easy by indexing your emails and organizing them by sender.  You can use its powerful search to quickly find any email, find related messages, and then view more information about that contact with information from social networks.  And, to top it off, it even lets you view your Yahoo! emails directly in Outlook without upgrading to a Yahoo! Plus account.  Xobni runs in Outlook 2003, 2007, and 2010, including the 64 bit version of Outlook 2010, and users of older versions will especially enjoy the new features Xobni brings for free. Getting started Download the Xobni Free installer (link below), and run to start the installation.  Make sure to exit Outlook before installing.  Xobni may need to download additional files which may take a few moments. When the download is finished, proceed with the install as normal.  You can opt out of the Product Improvement Program at the end of the installation by unchecking the box.  Additionally, you are asked to share Xobni with your friends on social networks, but this is not required.   Next time you open Outlook, you’ll notice the new Xobni sidebar in Outlook.  You can choose to watch an introduction video that will help you quickly get up to speed on how Xobni works. While this is playing, Xobni is working at indexing your email in the background.  Once the first indexing is finished, click Let’s Go! to start using Xobni. Here’s how Xobni looks in Outlook 2010: Advanced Email Information Select an email, and now you can see lots of info about it in your new Xobni sidebar.   On the top of the sidebar, select the graph icon to see when and how often you email with a contact.  Each contact is given an Xobni rank so you can quickly see who you email the most.   You can see all related emails sorted into conversations, and also all attachments in the conversation, not just this email. Xobni can also show you all scheduled appointments and links exchanged with a contact, but this is only available in the Plus version.  If you’d rather not see the tab for a feature you can’t use, click Don’t show this tab to banish it from Xobni for good.   Searching emails from the Xobni toolbar is very fast, and you can preview a message by simply hovering over it from the search pane. Get More Information About Your Contacts Xobni’s coolest feature is its social integration.  Whenever you select an email, you may see a brief bio, picture, and more, all pulled from social networks.   Select one of the tabs to find more information.  You may need to login to view information on your contacts from certain networks. The Twitter tab lets you see recent tweets.  Xobni will search for related Twitter accounts, and will ask you to confirm if the choice is correct.   Now you can see this contact’s recent Tweets directly from Outlook.   The Hoovers tab can give you interesting information about the businesses you’re in contact with. If the information isn’t correct, you can edit it and add your own information.  Click the Edit button, and the add any information you want.   You can also remove a network you don’t wish to see.  Right-click on the network tabs, select Manage Extensions, and uncheck any you don’t want to see. But sometimes online contact just doesn’t cut it.  For these times, click on the orange folder button to request a contact’s phone number or schedule a time with them. This will open a new email message ready to send with the information you want.  Edit as you please, and send. Add Yahoo! Email to Outlook for Free One of Xobni’s neatest features is that it let’s you add your Yahoo! email account to Outlook for free.  Click the gear icon in the bottom of the Xobni sidebar and select Options to set it up. Select the Integration tab, and click Enable to add Yahoo! mail to Xobni. Sign in with your Yahoo! account, and make sure to check the Keep me signed in box. Note that you may have to re-signin every two weeks to keep your Yahoo! account connected.  Select I agree to finish setting it up. Xobni will now download and index your recent Yahoo! mail. Your Yahoo! messages will only show up in the Xobni sidebar.  Whenever you select a contact, you will see related messages from your Yahoo! account as well.  Or, you can search from the sidebar to find individual messages from your Yahoo! account.  Note the Y! logo beside Yahoo! messages.   Select a message to read it in the Sidebar.  You can open the email in Yahoo! in your browser, or can reply to it using your default Outlook email account. If you have many older messages in your Yahoo! account, make sure to go back to the Integration tab and select Index Yahoo! Mail to index all of your emails.   • How to Apply a Business Card Template to a Contact and Customize it in Outlook 2013

    If you want to add a business card template to an existing contact in Outlook, you can do so without having to enter all of the information again. We will also show you how to customize the layout and format of the text on the card. Microsoft provides a couple of business card templates you can use. We will use their Blue Sky template as an example. To open the archive file for the template you downloaded, double-click on the .cab file. NOTE: You can also use a tool like 7-Zip to open the archive. A new Extract tab becomes available under Compressed Folder Tools and the files in the archive are listed. Select the .vcf file in the list of files. This automatically activates the Extract tab. Click Extract To and select a location or select Choose location if the desired location is not on the drop-down menu. Select a folder in which you want to save the .vcf file on the Copy Items dialog box and click Copy. NOTE: Use the Make New Folder button to create a new folder for the location, if desired. Double-click on the .vcf file that you copied out of the .cab archive file. By default, .vcf files are associated with Outlook so, when you double-click on a .vcf file, it automatically opens in a Contact window in Outlook. Change the Full Name to match the existing contact to which you want to apply this template. Delete the other contact info from the template. If you want to add any additional information not in the existing contact, enter it. Click Save & Close to save the contact with the new template. The Duplicate Contact Detected dialog box displays. To update the existing contact, select the Update information of selected Contact option. Click Update. NOTE: If you want to create a new contact from this template, select the Add new contact option. With the Contacts folder open (the People link on the Navigation Bar), click Business Card in the Current View section of the Home tab. You may notice that not all the fields from your contact display on the business card you just updated. Double-click on the contact to update the contact and the business card. On the Contact window, right-click on the image of the business card and select Edit Business Card from the popup menu. The Edit Business Card dialog box displays. You can change the design of the card, including changing he background color or image. The Fields box allows you to specify which fields display on the business card and in what order. Notice, in our example, that Company is listed below the Full Name, but no text displays on the business card below the name. That’s because we did not enter any information for Company in the Contact. We have information in Job Title. So, we select Company and click Remove to remove that field. Now, we want to add Job Title. First, select the field below which you want to add the new field. We select Full Name to add the Job Title below that. Then, we click Add and select Organization | Job Title from the popup menu to insert the Job Title. To make the Job Title white like the name, we select Job Title in the list of Fields and click the Font Color button in the Edit section. On the Color dialog box, select the color you want to use for the text in the selected field. Click OK. You can also make text bold, italic, or underlined. We chose to make the Job Title bold and the Full Name bold and italic. We also need to remove the Business Phone because this contact only has a mobile phone number. So, we add a Mobile Phone from the Phone submenu. Then, we need to remove enough blank lines so the Mobile Phone is visible on the card. We also added a website and email address and removed more blank lines so they are visible. You can also move text to the right side of the card or make it centered on the card. We also changed the color of the bottom three lines to blue. Click OK to accept your changes and close the dialog box. Your new business card design displays on the Contact window. Click Save & Close to save the changes you made to the business card for this contact and close the Contact window. The final design of the business card displays in the Business Card view on the People screen. If you have a signature that contains the business card for the contact you just updated, you will also need to update the signature by removing the business card and adding it again using the Business Card button in the Signature editor. You can also add the updated Business Card to a signature without the image or without the vCard (.vcf) file.

  • How to Create a Send/Receive Group for RSS Feeds in Outlook 2013

    If you choose to manually update your RSS feeds on demand, there is a way to do this without having to send and receive your email at the same time. You can create a special Send/Receive Group for your RSS feeds. NOTE: If you choose to not have your RSS feeds updated automatically, creating a separate Send/Receive Group for your RSS feeds is useful so you can update them when you want to. To begin creating a new Send/Receive Group, click the File tab. Click Options in the menu on the left side of the Account Information screen. On the Outlook Options dialog box, click Advanced in the left pane list of menu options. In the right pane, scroll down to the Send and receive section and click the Send/Receive button. On the Send/Receive Groups dialog box, click New next to the list of groups. On the Send/Receive Group Name dialog box, enter a name, such as “RSS Feeds On Demand Only,” in the edit box and click OK. For all the other Accounts, except RSS, in the list on the left, de-select the Include RSS Feeds in this Send/Receive group check box so there is NO check mark in the box. Click RSS under Accounts, and make sure the Include RSS Feeds in this Send/Receive group check box is selected. NOTE: If you want to have a separate Send/Receive group for each RSS Feed or group certain RSS feeds together, you can turn on and off specific feeds in the lower half of the Send/Receive Settings dialog box. If you decide to do this, you might specify a more appropriate name for each Send/Receive group for the RSS feeds. Click OK to accept your changes and close the Send/Receive dialog box. Make sure your new Send/Receive group is selected in the list of groups on the Send/Receive Groups dialog box. De-select all the options under Setting for group section at the bottom of the dialog box and click Close. This prevents this group from being updated when you click the general Send/Receive button to retrieve your email. Click OK on the Outlook Options dialog box. To manually update your RSS feeds, click the Send / Receive tab. Click Send/Receive Groups and select your new group from the drop-down list. You can change, rename, or remove any Send/Receive Groups you create by accessing the Send/Receive Groups dialog box again.

  • How to Modify a Signature for Use in Plain Text Emails in Outlook 2013

    If you’ve created a signature with an image, links, text formatting, or special characters, the signature will not look the same in plain text formatted emails as it does in HTML format. As the name suggests, Plain Text does not support any type of formatting. For example, if you include an image in your signature, as shown below, the plain text version will be blank. Active links in HTML signatures will be converted to just the text of the link in plain text emails. The How-To Geek link in the image below will become simply How-To Geek and will look like the rest of the text in the signature. The same thing is true in the following example. The active links are stripped from the text. The picture of the envelope that was inserted using the Wingdings font will only display as the plain text character associated with it. There are times you may need to send email in Plain Text format, but still include your signature. You can edit the plain text version of your signature to make it look good in plain text emails by manually editing the text file. To do this, click the File tab. Click Options in the menu list on the left side of the Account Information screen. On the Outlook Options dialog box, click Mail in the list of options on the left side of the dialog box. In the Compose messages section, press and hold the Ctrl key and click the Signatures button. This opens the Signatures folder containing the files used to insert signatures into emails. The .txt file version of each signature is used when inserting a signature into a plain text email. Double-click on a .txt file for the signature you want to edit to open it in Notepad, or your default text editor. Notice that the links on “How-To Geek” and “Email me” are gone and the envelope typed using the Wingdings font was converted to an “H.” Edit the text file to remove extra characters, replace images, and provide full web and email links. Save the text file. Create a new mail message and select the edited signature, if it’s not the default signature for the current email account. To convert the email to plain text, click the Format Text tab and click Plain Text in the Format section. The Microsoft Outlook Compatibility Checker displays telling you that Formatted text will become plain text. Click Continue. The HTML version of your signature is converted to the plain text version. NOTE: You should make a backup of the .txt signature file you edited, as this file will change again when you change your signature in the Signature Editor.

    When a new email address is added to our company's Exchange server it doesn't show up immediately on my Outlook, and I suspect that it's because of the "cached mode". When I disable cached mode and restart outlook I see the new address fine. But when I restore cached mode and restart outlook it's missing again. So I guess the cache wasn't updated by this move. I tried deleting the .nk2 file in %appdata%\Microsoft\Outlook, but that didn't help. How can I force Outlook to clear its address book cache?

  • OWA draft folder doesn't sync up wint Outlook 2007 (when using Citrix)

    I have a user logging in to Citrix Server (on Windows 2003) to use Outlook 2007. In OWA, he sees all his drafts in Draft Folder and can easily access them, but when he is Citrix, he can see the folder, but not the messages. I had him check Normal and Favorite Folders under View - Navigation Pane as well as execute outlook /cleanviews to no help. I should also clarify, we host exchange locally and it syncs up with Outlook 2007 in Citrix. Remote users use either OWA for access or login to Citrix and use Outlook 2007. In his case ALL folders appear in Outlook 2007, but draft folder doesn't show any saved messages, even though in OWA messages are there and he can edit, delete and send them. Please, help! Thanks!!!

    Possible Duplicate: Multiple delete in Microsoft Outlook Web Access How do you delete all messages in a folder in Outlook, preferrably through Web Access? I left my Outlook account unattended for several days (on vacation) and when I got back I found several folders with over 5k emails, mostly error logging or spam. When I try to open the Outlook client, it just locks up, presumably unable to download that many emails. I can view at most 100 emails at a time, but I can't select all emails to delete or permanently delete them immediately, so manually deleting this many emails is going to take a while. Gmail has a similar feature to select and delete all emails in a folder, and that's free so I figure being a quality non-free product from Microsoft, Outlook should have a similar feature (yes that's sarcasm). I've Googled, but I'm not finding anything. Is this possible?

  • Sending Outlook 2007 Meeting Request with HTML Body

    I know that Outlook.ApointmentItem.Body only supports plain and rich text formats. But my requirement is to send the Appointment with a Html body. Currently I am saving the ApointmentItem as an ics file and attaching it to the e-mail. This works but the outcome that I am looking for is that it is received as a meeting request. I.e. I receive this e-mail I can see the body and have the option to respond to the meeting request. I tried forwarding the AppointmentItem as a vCal but that does not work either. I am I headed in the right direction? Thanks
